This policy explains how Overtranslate Language Services, S.L. processes personal data collected through overtranslate.com, in accordance with Regulation (EU) 2016/679 (GDPR) and Spanish Organic Law 3/2018 on Data Protection and Digital Rights Guarantee (LOPDGDD).

2. What data we collect

Depending on how you interact with the site, we may collect: your name, email address, phone number, billing/postal address, company name and tax identification number (for business orders), the content of messages you send us, order and payment-method details (we never receive, transmit or store full card numbers — see our Terms of Service), and standard technical data (IP address, browser, pages visited) via analytics, only once you’ve given consent.

3. Purposes and legal basis

To respond to enquiries sent via our contact form: legal basis — your consent, given by submitting the form (Art. 6.1.a GDPR).
To process and fulfil an order, including invoicing: legal basis — performance of a contract (Art. 6.1.b) and compliance with tax/accounting obligations (Art. 6.1.c).
To measure site usage via Google Analytics 4: legal basis — your consent, given through the cookie banner (Art. 6.1.a); the site functions fully without this consent.
To comply with legal obligations (e.g. invoicing, accounting records): legal basis — Art. 6.1.c.

We do not use your data for automated decision-making or profiling that produces legal effects, and we do not sell your data to third parties.

4. Recipients and international transfers

Your data is not shared with third parties except: service providers acting as data processors under contract (e.g. hosting, and Google as the provider of Google Analytics 4, only after consent), and public authorities where legally required. Google Analytics 4 may involve a transfer of data to the United States; Google processes this data under the EU Standard Contractual Clauses and its own data-processing terms. We do not otherwise transfer personal data outside the European Economic Area.

5. Retention

Contact-form messages: retained only as long as needed to handle the enquiry, then deleted.
Order and invoicing data: retained for the periods required by Spanish tax and commercial law (generally up to 6 years from the relevant fiscal year).
Analytics data: retained per Google Analytics 4’s default retention settings, only while consent is active.

6. Your rights

Under the GDPR and the LOPDGDD, you may exercise the rights of access, rectification, erasure, restriction of processing, data portability, and objection, by writing to support@overtranslate.com with a copy of an identifying document. You may withdraw consent at any time — including by reopening cookie preferences via “Cookie settings” in the footer — without affecting the lawfulness of processing carried out before withdrawal. You also have the right to lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es) if you believe your data has been processed unlawfully.

8. Security

We apply reasonable technical and organisational measures appropriate to the risk to protect personal data against unauthorised access, loss, or alteration. No online transmission is completely secure, but we take proportionate steps to protect the data we hold.
